Scope of This Privacy Policy

This Privacy Policy applies to automexon.com, Automexon's customer onboarding and support forms, Automexon professional services, and the Automexon web application / WhatsApp Automation platform when those services are enabled. This Policy covers information processed directly from business customers and website visitors, as well as information Automexon may process on behalf of a business customer when providing CRM, messaging, automation or integration services. An onboarding or demo request does not automatically create a platform account.

Information You Provide Directly

We may collect the name, email address, phone number, business name, business requirements, selected plan, support correspondence, billing or invoice references, and other information you choose to provide when you contact us, request access, request a proposal, create an account, or receive support. Do not send passwords, one-time login codes, private keys, API secrets or other sensitive credentials through public enquiry forms.

Connected Meta and WhatsApp Business Information

When a business customer connects a Meta or WhatsApp Business account to an enabled Automexon service, we may process information required to provide that service, such as Meta Business Portfolio identifiers, WhatsApp Business Account (WABA) identifiers, Phone Number IDs, connected business numbers, display names, template information, campaign configuration, account status, integration settings and related business metadata. Where technically required, Automexon may process access tokens, authorization results, webhook configuration information or similar technical credentials used to operate the connected service. These credentials are used only for the authorized integration and should not be submitted through public enquiry forms.

Customer Contacts, Conversations and Message Data

When a business customer uses Automexon to manage WhatsApp or CRM communications, the platform may process contact records, phone numbers, names, tags, notes, conversation history, message content, message identifiers, timestamps, sender and recipient identifiers, template information, and delivery, read or failure status. Message content is processed or stored only when required for the enabled service and the agreed customer setup. Business customers are responsible for the lawful basis, notices, permissions and opt-ins for communications they send or manage through Automexon.

Technical, Security and Integration Data

Enabled services may process API requests, webhook events, authentication or session information, browser or device information, IP addresses, error logs, audit records, and security events. Hosting, messaging and integration providers may also maintain logs required to provide and secure their services. Automexon uses this information to operate the service, troubleshoot integrations, maintain security, prevent misuse, investigate incidents and support customers.

How We Use Information

We use information to:

• respond to enquiries and provide proposals;

• create, administer and support customer accounts;

• provide agreed automation, CRM, AI, messaging and integration services;

• send requested operational or support communications;

• process billing and maintain accounting records where applicable;

• troubleshoot technical issues and monitor service reliability;

• prevent fraud, abuse, spam, unauthorized access and security incidents;

• comply with applicable law and resolve disputes; and

• improve Automexon's services using information that is appropriate for that purpose.

We do not treat an enquiry or support request as permission to add a person to unrelated marketing lists.

Our Role for Client Customer Data

When Automexon processes a business customer's contacts, conversations or other end-customer data solely to provide services to that business, the business customer generally determines why and how that communication is carried out and is responsible for providing the required notices and obtaining the required permissions. If you are an end customer of an Automexon client and want to exercise rights relating to records controlled by that business, you should normally contact that business first. Automexon will assist the business with authorized requests within the scope of our role.

Forms, Email and WhatsApp Enquiries

Website forms may use third-party form or email delivery services to send the information you enter to Automexon. A WhatsApp contact button may prepare a draft message that you choose whether to send. Such providers operate under their own terms and privacy practices. Where a sign-up or access request collects your name, email, business name, WhatsApp number and selected plan, those details are used to evaluate and respond to the request. No password should be collected through a public access-request form.

Service Providers and International Processing

We may use service providers for hosting, email, messaging, payments, AI, analytics, security, backups and integrations where needed to provide the agreed service. These providers may process information in countries outside Pakistan. We select providers appropriate to the service and limit access to information reasonably needed for their role. Project-specific providers and data flows may vary. Contact Automexon if you need details about the providers used for your implementation.

Data Security

Automexon maintains reasonable administrative, technical and organizational safeguards appropriate to the nature of the information and the service being provided. These safeguards may include access controls, role-based permissions, credential protection, logging, backups, secure transport and other measures where implemented and appropriate. No method of transmission or storage is completely risk-free. Automexon does not claim a certification, encryption method or security control unless it is actually implemented and applicable to the service. Customers must protect their own credentials, restrict access to authorized team members, and report suspected misuse promptly.

Retention

Automexon retains information only for as long as reasonably needed to provide and support the service, meet accounting or legal obligations, maintain security, prevent fraud, resolve disputes, or enforce agreements. Retention periods may differ by data type and service. Where information is no longer needed and no lawful retention requirement applies, it will be deleted, anonymized or otherwise handled in accordance with the applicable process.

Deletion and Your Choices

You may request access, correction or deletion of information held by Automexon, or ask questions about our processing, by emailing automexon@gmail.com. Deletion requests do not require login and are handled without a deletion fee. We may request reasonable information to verify identity or authority before acting on a request. Some records may need to be retained for legal, tax, security, fraud-prevention or dispute purposes. Full instructions are available at: https://automexon.com/data-deletion

Third-Party and Provider Records

Deleting information held by Automexon does not automatically delete information independently controlled by Meta, WhatsApp, payment providers, hosting providers or other connected services. Those providers may require separate deletion or account-management steps under their own policies.

Cookies and Local Storage

Automexon may use cookies, session storage or local storage that are necessary for website or platform functionality, session management, preferences and security. Third-party providers may use their own cookies or similar mechanisms. If Automexon activates optional analytics, advertising or other non-essential tracking technologies, the privacy notice and any required consent mechanism should be updated before activation.

We may update this Privacy Policy when our services, technology or legal obligations change. The current effective date is shown at the top of the Policy. Privacy questions, data requests and deletion requests: Email: automexon@gmail.com
